Each person on your team should have their own login — shared passwords are how conversations get missed and mistakes become untraceable.
Adding a user
- Go to Settings → My Staff in your account.
- Click to add a new team member and enter their name and email address.
- Assign a role — roles control what data each user can see and which settings they can change.
- Save. They'll receive an email invitation to set their password.
Choosing roles sensibly
- Admin — full access, including settings and billing. Keep this to owners/managers.
- User/staff — day-to-day access to conversations, contacts, and calendars, without the keys to the configuration.
Things to know
- If someone "can't see contacts" or a team inbox, it's almost always their role's permissions — check there first.
- You can assign conversations and appointments to specific team members once they have accounts.
- When someone leaves, deactivate their user promptly — their history stays, their access ends.
